Can you send a certificate of insurance and a W-9?

Hotels, venues and finance teams need paperwork before a vendor can play. Here's what Extreme Strings can provide.

Short answer

Yes. Jared can send a certificate of insurance (COI), including one that lists your venue or company as additional insured, and a W-9. He signs venue and company contracts and waivers, and you can pay online in BookLive or by check.

Paperwork checklist

  • Certificate of insurance. Available on request. If your venue needs to be listed as additional insured, Jared re-issues the COI with their details.
  • W-9. Sent when your accounts payable team asks for it.
  • Contract. Jared sends his own contract with the proposal. If your legal team writes its own version, he can sign that instead.
  • Venue waivers. He has signed hotel waivers when asked.
  • Payment. Sign and pay online in BookLive, or pay by check. A check on-site for the final payment works too.

How this works with a hotel or venue

When a Broomfield hotel had insurance requirements for a conference dinner, Jared sent his COI along with a W-9 for the planner's company. When a historic park venue in Denver asked to be named as additional insured, he re-issued the certificate for them.

If your venue has other vendor requirements, send them over and Jared will answer them directly.

Ask for the paperwork as soon as your venue sends its vendor requirements, so nothing holds up load-in. More on hotel and convention center events.

Why it's easy

Your proposal, contract and payments all live in one place in BookLive, so you can see what's signed and what's paid without digging through email. If your company pays by check instead, that works too, including a check on-site for the final payment. Event-day logistics are just as simple: he arrives about an hour early, brings his own sound, and needs only a closet for his cases. See how pricing works for the rest of the process.
